Unsecured Debt Dispute Letter - Canada

The Debt Dispute / Proof of Authority letter is a front-page communication designed to create a clear written record when a collection agency or collector asserts an unsecured consumer debt. It states that the claim is disputed and requests the core information a collector typically must have to pursue collection responsibly such as who presently owns the debt, the basis for the amount claimed (including interest/fees), the governing agreement or terms, and account-level documentation supporting any transfer or authority to collect. The purpose is organization and record integrity across Canada’s province/territory-based frameworks: to document what was disputed, what was requested, and how the collector responded, so your position remains factual and consistent if collection activity continues, credit reporting issues arise, or proceedings are threatened.

Instructions:

  • Review the generated letter for accuracy against your own records before sending.
  • Print the letter and handwrite the last four (or full) account number(s) in the designated account field(s) if needed for clarity.
  • Sign the letter in Blue ink and keep a complete original copy of everything you send.
  • Prepare an envelope addressed to the collection agency/collector at the address shown on their notice (and any additional address provided).
  • Include a color copy of the blue ink signed document and a copy of the debt collection notice in the envelope.
  • Mail using Canada Post Registered Mail or Xpresspost (signature option) so you have delivery tracking and confirmation.
  • Retain the mailing receipt, tracking number, and delivery confirmation with your copy of the letter.
  • Log the mailing date, tracking number, and any responses received to keep your file organized.
